We have an exciting opportunity to join our team as an Assistant Director-Finance & Administration. Responsible for assisting the Director of Administration, Finance, and Operations with financial oversight, special project management, and quality control to meet sponsor requirements of the Clinical and Translational Science Institute (CTSI). Job
Responsibilities:
Financial Management Reviews, analyzes, and determines causes of trends in financial performance of research portfolios. Develops analysis and provides strategic planning, operational budgeting, and forecasting activities. Oversees appropriate allocation of personnel salaries on sponsored awards, and tracks time and effort for all faculty and personnel receiving support from sponsored awards. Remains up-to-date on changes to policies, both internal and external, that pertain to compliance, budgeting, and other factors that may impact spending practices. Assists in the preparation of annual operating, discretionary, program, and capital budgets presented at quarterly P&L meetings, to help ensure the CTSI meets its annual budget targets in all areas. Stays informed of research developments in the CTSI in order to identify need for reallocation of charges for shared services, changes in space coding and usage, and additional research-related charging that will require appropriate budgeting and allocations. Monitors and addresses specific high priority issues related to grant spending, such as large carryover balances and overspending. Quality Control/Quality Assurance Coordinates and monitors all aspects of quality assurance data to ensure compliance with federal, state, and agency regulations. Oversees process to provide ongoing assessment and continuous quality improvement of programs. Evaluates operational as well as programmatic metrics and information to continuously improve research quality and/or processes. Resolves complex situations based on established regulations, policies, and procedures; refers unsolved issues to CTSI Leadership. Serves as Concierge to field inquiries from the research community on research resources. Develops standard operating procedures (SOPs) for the CTSI in collaboration with the Office of Science and Research. Project Management Responsible for the management and supervision of projects and personnel as assigned; collaborates with the Director of Administration to assign and delegate tasks as appropriate to ensure on time and on budget project management. Creates project plans, sets deadlines, oversees progress towards achievement of milestones, and reviews progress of projects and initiates appropriate actions to achieve targeted objectives. Develops and prepares ad hoc reports for the CTSI Leadership as needed; advises other members of the team on report preparation and presentation as requested. Reviews Research Navigator submissions, provides feedback to CTSI Leadership and administrative team members in terms of accuracy and completeness. May oversee grant submission and continuation process for the Institute, working with grant specialists as well as other administrative team members; ensures CTSI Leadership and staff are aware of and comply with internal Sponsored Program deadlines. Oversees the development and maintenance of a grant submission database for the CTSI; manages the tracking of pending grant status updates and reports regularly to the Director of Administration, CTSI Leadership, and Office of Science and Research. General Assists in preparation and presentation of reports to CTSI Leadership, External and Internal Advisory Boards, Institute stakeholders, NYULH governing bodies, and sponsors. May act on behalf of the CTSI during absence of the Director or Deputy Director of Administration Minimum
Qualifications:
To qualify you must have a Experience with financial management, including managing federal grants; BS/BA in Accounting or Business; 5 years experience. Excellent knowledge of research accounting, budgeting, forecasting, and financial reporting. Comprehensive understanding of financial management responsibilities including effective presentation skills of financial reports. Ensures compliance with sponsor, policies, and practices applicable to the appropriate and effective submission of materials. Ability to understand, interpret, and communicate with data. Directs queries to appropriate members of the NYU community. Analytical, organizational, and verbal/written communication skills required to interact successfully with professional groups. Proven ability to work in a fast-paced environment and manage several projects simultaneously. Outstanding organization skills and management style. Facilitates communication of ongoing issues and concerns with leadership to ensure rapid response and informed decision making. Displays advanced skills with Microsoft Office suite, especially Excel, PowerPoint, and PeopleSoft Business Intelligence. Demonstrates discretion with confidential information.
Salary Range:
$80K -- $100K
Minimum Qualification
Corporate FinanceEstimated Salary: $20 to $28 per hour based on qualifications.
