February 12, 2024 Part-Time Personal Assistant for Nonprofit Founder A busy Nonprofit Founder and her spouse need a highly organized and personable Personal Assistant to support them in managing their personal and professional lives.
This is a part-time position of approximately 15 hours per week working with the wife (Nonprofit Founder) as the primary client.
Scheduling of hours is flexible, however, the personal assistant will be expected to work within the home office at least two half days a week, coordinating their schedule to coincide with the client.
For the balance of hours it's acceptable for the PA to work from home.
The PA will be expected to be available for calls and assignments throughout the week during normal business hours Monday-Friday.
The PA is not expected to be available weekends or evenings except for the occasional emergency or priority phone or text.
Flexibility and organization are key along with a willingness to learn new, challenging skills and perform the tasks needed to keep the household running.
At times, the personal assistant will work closely with the Administration Manager of the wife's nonprofit, the family's accountants, and the husband's office assistant.
Primary responsibilities as a personal assistant are:
Calendar Coordination:
Manage personal calendar, coordinate appointments with client's nonprofit staff and spouse's personal office assistant Schedule and coordinate appointments, social events, and meetings for the couple Create a shared calendar, then manage and prioritize the couple's shared calendar to optimize their time.
Communication Liaison:
Handle phone calls, emails, and messages with professionalism and discretion Open, sort and prioritize mail Computer and Technology:
Have strong knowledge/competency with Android, iOS, Google Suite and comfort learning new software programs.
Troubleshoot computer, phone, entertainment system problems Travel Planning:
Coordinate travel arrangements for the couple, including flights, accommodations, and transportation.
Work directly with travel agent as needed Prepare detailed itineraries for trips and ensure all travel logistics are well-organized Domestic Management:
Oversee household tasks, including coordinating with housekeeper, building staff, managing deliveries, and ensuring the home is well-maintained.
Help hire, then schedule and manage home maintenance workers (painters, rug cleaners, etc.
) Assist with the planning and execution of events and social gatherings Task Prioritization:
Help prioritize tasks and deadlines for both individuals, ensuring that important matters are addressed promptly.
Handle ad-hoc requests and inquiries efficiently.
Financial Coordination:
Assist in managing personal finances, including tracking expenses and handling bill payments, filling out forms (bills, medical records, insurance etc.
) and gathering documents for taxes, coordinating with family financial advisor Light bookkeeping and paperwork for other small, family-owned companies and investments, coordinating with family financial advisor Ensure that checking accounts are appropriately funded at all times.
Maintain records of financial transactions and assist with budget management for projects.
Track two different family foundations, interacting with bankers as needed, distributing funds as directed Miscellaneous:
Occasional errands,grocery shopping/ordering, returns of mail order and in person purchases, holiday decorating Organize and keep clear shared desk space, keep papers in order Confidentiality:
Handle sensitive information with the utmost confidentiality and discretion.
This job requires flexibility, strong interpersonal skills & attention to detail.
Comfort with financial issues, tax organization and working with accountants are integral to the job.
Previous experience as a PA with references is a must.
Office experience is a plus.
The selected candidate will be required to pass a criminal background and credit check as a condition of employment.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
