An investment management firm seeks to hire a highly organized, professional, and detail-oriented Senior Administrative / Executive Assistant to the President & COO, Deputy COO, and Investor Relations teamThe ideal person should be able to anticipate the team's needs ahead of time and run interference, when necessary, to ensure that all days run as smoothly as possibleAdditionally, a 24x7 mentality is necessary with the understanding that the job may at times call for assistance outside of regular business hours when the team is traveling. Responsibilities Calendar Management:
Coordinate and manage complex calendars by serving as primary point of contact, fielding incoming flow of information and continuously adjusting schedules and scheduling meetings, appointments and travel, based on business and personal priorities Travel Planning:
Arrange all aspects of domestic and international travel and procuring all necessary items before departure (i.e., arranging meetings, securing visas, flights, hotels, cars, venue reservations, creating detailed itineraries and providing support when needed throughout traveler's trip) Expense Processing:
Process and track expense reports, reconcile credit card statement and maintain accurate records according to T&E policy best practices Client Communication:
